Privacy Policy

Expense Capture is a personal, single-user application built and operated by one individual (the "owner") to track their own business and personal expenses. It is not offered as a public service, and no one other than the owner can create an account or sign in.

What information is collected

• The owner's Google account email, used only to verify sign-in against a single allow-listed address.
• Expense data the owner enters or captures: dates, amounts, vendors, categories, notes, and receipt photos.
• If SMS/MMS capture is enabled, the phone number the owner texts from, and the content (text and photos) of messages sent to the app's number.

Mobile information and text messaging

No mobile phone number or SMS opt-in data collected for text messaging purposes will be shared with any third party or affiliate for their own marketing purposes. The phone number used to text this app belongs to the owner and is used solely to confirm messages come from them — it is never sold, rented, or shared with any third party.

Message frequency varies based on how often the owner texts a receipt or note in — typically a handful of messages per week at most. Message and data rates may apply, depending on the owner's mobile carrier and plan.

To stop text-based capture, the owner can reply STOP to the app's number at any time, or simply remove the phone number from the app's configuration. Replying HELP will get a short message pointing back to this page.

How information is used

Collected data is used exclusively to record, organize, and export the owner's own expenses (for example, to a personal Google Sheet or Drive folder the owner controls, or to a Concur-formatted export the owner generates). Receipt photos sent by text or email are parsed by an AI service (Anthropic's Claude API) solely to extract expense fields like vendor, amount, and date — that data is not used to train models and is not retained by that service beyond processing the request.

Data storage and sharing

Data is stored in a private database and private file storage the owner controls (Neon Postgres and Vercel Blob). It is not sold, rented, or shared with any third party except the infrastructure providers (Vercel, Neon, Anthropic, Google, Twilio) strictly necessary to operate the app, each acting as a processor under its own standard terms.

Data retention and deletion

The owner can delete any individual expense record (including its receipt photo) directly in the app at any time. Deleting a record removes it from the database and best-effort deletes its associated files from storage.
